This processing is generally based on our legitimate interests in operating secure services and, where relevant, legal obligations.
11.6 Analytics and website improvement
Where permitted and, where required, after obtaining consent, we may use analytics to understand:
- website traffic;
- page usage;
- conversion funnels;
- Opportunity Map completion;
- navigation patterns;

We do not intend to send the contents of confidential business descriptions or Opportunity Map free-text answers to generic analytics providers.
11.7 Marketing
We may send information about our Services where:
- you have requested it;
- you have given consent;
- applicable law otherwise permits us to do so.
You may opt out of marketing communications at any time.

Where required by law, we balance those interests against the rights and freedoms of affected individuals.
13. CONSENT

You may withdraw consent at any time.
Withdrawal does not affect processing that was lawful before withdrawal.
Withdrawal of consent also does not necessarily require us to delete information where another lawful basis requires or permits continued processing.
14. AI AND AUTOMATED PROCESSING
We may use artificial intelligence and machine learning systems as part of our Services.
Examples may include:
- generating Opportunity Maps;
- analyzing questionnaire responses;
- classifying business processes;
- identifying potential automation opportunities;

- assisting with customer support;
- generating project suggestions;

AI-generated outputs may be reviewed by humans where appropriate.
15. AUTOMATED DECISION-MAKING
The AI Opportunity Map is intended to provide informational recommendations and does not normally make decisions that produce legal effects or similarly significant effects concerning individuals.
We do not intend to use the public Opportunity Map to automatically decide:
- whether a person may receive employment;
- whether credit should be granted;
- whether insurance should be granted;
- whether a person receives medical treatment;
- whether a person has legal rights;
- whether a person may access an essential service.
If we later introduce automated decision-making that produces legal or similarly significant effects, we will provide additional information and safeguards where required by law.
16. USE OF THIRD-PARTY AI PROVIDERS
Some features or Client projects may require us to send information to third-party AI or cloud providers.
Depending on the technical solution, providers may include companies offering:
- large language models;
- machine-learning APIs;
- cloud computing;
- image or speech processing;
- embedding or search services.
Potential providers may include organizations such as OpenAI, Anthropic, Google or other suitable providers.
The actual providers used may vary by project and over time.
We do not intentionally send confidential Client information to third-party AI systems without considering the confidentiality, security and data-protection requirements of the relevant project.
17. CONFIDENTIAL DATA AND AI PROVIDERS
If a Client indicates that information is confidential or subject to special restrictions, we may use measures such as:
- anonymisation;
- pseudonymisation;
- data minimisation;
- removing unnecessary identifiers;
- enterprise or API configurations;
- restricted retention options;
- alternative model providers;
- local or privately hosted models;
- avoiding external AI processing entirely where appropriate.
The precise approach may be agreed in the relevant project documentation.
18. NO GENERAL-PURPOSE TRAINING ON CLIENT CONFIDENTIAL DATA
We do not intentionally use Client Confidential Information to train our own general-purpose models for unrelated customers without the Client’s express agreement.
We may use generalized knowledge, skills, methods and non-identifying experience gained while performing work, provided this does not disclose Client Confidential Information or reproduce Client-owned proprietary data.
19. DATA MINIMISATION
We aim to collect only information reasonably necessary for the relevant purpose.
Please do not provide personal or confidential information merely because an input box permits it.
In particular, when using the Opportunity Map, provide business-process information without personal identifiers wherever possible.
20. WHO MAY RECEIVE PERSONAL DATA
Depending on the situation, personal data may be shared with:
- authorized personnel;
- specialist contractors;

Where such persons receive personal data, we take reasonable steps to ensure that access is:
- necessary;
- limited;
- confidential;
- appropriate to their role.
Where required by law or Client contract, subprocessors will be governed by appropriate data-processing terms.
22. INTERNATIONAL DATA TRANSFERS
Because AI Practics operates internationally and may use global cloud and AI services, personal data may be processed outside the country in which the data subject resides.
We seek to make international transfers only where an appropriate legal mechanism or safeguard exists.
Depending on applicable law, this may include:
- transfer to a jurisdiction recognized as providing adequate protection;
- contractual safeguards;
- standard contractual clauses;
- UK international-transfer mechanisms;
- explicit consent where legally appropriate;
- another lawful transfer mechanism.
Where Georgian data-protection law applies, international transfers will be handled in accordance with applicable Georgian requirements.
Where EU GDPR or UK data-protection law applies, we will use appropriate safeguards where required.
23. DATA LOCATION
The exact physical location of data may depend on:
- the hosting provider;
- Client requirements;
- cloud infrastructure;
- AI provider;
- project architecture.
Where a Client requires data to remain within a particular country or region, that requirement must be identified before implementation so that an appropriate architecture can be designed.
24. HOW LONG WE KEEP PERSONAL DATA
We do not keep personal data longer than reasonably necessary for the purpose for which it was collected, subject to legal, accounting, security and contractual requirements.
Typical retention principles are described below.
Enquiries and potential Clients
We may retain enquiry and lead information for up to approximately 24 months after the last meaningful interaction, unless:
- a longer relationship develops;
- you ask us to delete it;
- law requires longer retention;
- we have another legitimate reason to retain it.
Opportunity Maps
Opportunity Map data may generally be retained for up to approximately 24 months to allow follow-up, continuation of an assessment, consultation and service improvement.
Users may request earlier deletion unless retention is required for another lawful purpose.
Client project data
Project information may be retained for the duration of the project and afterward where reasonably necessary for:
- support;
- warranty;
- contractual records;
- legal claims;
- security;
- accounting.
Confidential project data may be deleted or returned earlier where the relevant SOW or DPA requires it.
Contracts, invoices and accounting information
These records may be retained for the period required by applicable tax, accounting and legal-record obligations.
Security logs
Security and technical logs are generally retained only for as long as reasonably necessary for security, diagnostics and abuse prevention.
Marketing data
Marketing preferences may be retained until consent is withdrawn or until the information is no longer reasonably needed.
We may retain limited suppression information after an unsubscribe so that we can respect the request not to send further marketing.
25. DELETION AND ANONYMISATION
When personal data is no longer required, we may:
- delete it;
- securely destroy it;
- anonymise it so that it can no longer reasonably identify an individual.
Anonymous statistical information that no longer relates to an identifiable person is not treated as personal data.
26. DATA SECURITY
We use reasonable technical and organizational measures appropriate to the nature of the data and Services.
Measures may include, where appropriate:
